Key Responsibilities

Project Administration & Coordination

  • Maintain and update project plans, RAID logs (Risks, Assumptions, Issues, Dependencies), action trackers, and status reports across all projects in the portfolio
  • Prepare and distribute meeting agendas, minutes, and follow-up action logs in a timely manner
  • Coordinate scheduling of project meetings, workshops, and steering committee sessions across multiple time zones
  • Maintain organised and up-to-date project documentation repositories (SharePoint or equivalent)
  • Track project milestones and deadlines, proactively flagging slippage or risks to the Senior Project Manager
  • Assist in the preparation of Steering Committee packs, status reports, and executive-level presentations
  • Act as a central point of coordination between technical teams, business stakeholders, suppliers and operational teams.
  • Assist with project mobilisation, planning, governance and reporting activities.

Business Analysis Support

  • Assist in the gathering, documentation, and validation of business requirements from stakeholders
  • Produce clear process maps, use cases, and functional specifications as required
  • Support User Acceptance Testing (UAT) activities, including drafting test scripts, coordinating testers, and tracking defect logs
  • Assist with data gathering, analysis, and reporting to support project decision-making
  • Contribute to the production of training materials, SOPs, and end-user documentation
  • Liaise between business stakeholders and technical teams to ensure requirements are clearly understood and delivered

Stakeholder & Communication Management

  • Serve as a reliable and proactive point of contact for project team members and stakeholders
  • Maintain regular, structured communication with the London-based Senior Project Manager, providing clear written updates and flagging issues promptly
  • Build and maintain effective working relationships with business users, technology teams, and third-party vendors across different geographies
  • Support onboarding of new project team members and facilitate knowledge sharing

AI Tools & Innovation

  • Act as an enthusiastic champion of AI-powered productivity tools within the project team
  • Leverage AI tools to accelerate document drafting, meeting summarisation, status reporting, data analysis, and other project administration tasks
  • Share best practices and practical use cases with colleagues, helping to embed a culture of smart tool adoption within the change team
  • Continuously identify opportunities to apply AI and automation to improve project delivery efficiency

Skills & Experience

Essential

  • Minimum 3–5 years' experience in a Project Coordinator, PMO Analyst, Delivery Coordinator, Project Support Officer, Project Administrator, Business Analyst or similar coordination role, ideally within a technology implementation or change management context
  • Strong organisational skills with the ability to manage and prioritise across multiple concurrent projects
  • Excellent written and verbal communication skills in English, with the ability to produce clear, professional documentation and correspondence
  • Proficiency in Microsoft 365 tools, particularly Excel, Word, PowerPoint, Sharepoint and Teams
  • Experience maintaining project documentation including plans, RAID logs, and status reports
  • Demonstrated ability to work independently and proactively with minimal day-to-day supervision
  • Comfortable working across international time zones, with a particular focus on maintaining close collaboration with colleagues in the UK (London)
  • Enthusiastic, self-motivated attitude with a genuine interest in technology and process improvement
  • Experience working with or supporting implementation of accounting or finance systems (e.g. Yardi, SAP, Oracle, eFront or similar platforms)

 

Highly Desirable

  • Familiarity with the Investment Management, Private Equity, Real Estate, Asset Management or Fund Administration industries
  • Exposure to workflow automation or data integration projects
  • Experience supporting UAT activities and producing test documentation
  • Working knowledge of project management methodologies (e.g. PRINCE2, PMP, Agile/Scrum).  Formal certification is an advantage but not required
  • Experience using AI productivity tools (e.g. Microsoft Copilot, ChatGPT, Claude or similar) in a professional context
  • Familiarity with SharePoint, Jira, or equivalent project collaboration platforms
