Job Description:
We are looking for a structured, analytical and proactive individual to independently manage lower-complexity projects and to support Project Managers in the execution and governance of larger Change, Transformation and Transition (Lift-Out) initiatives across Global Client Delivery (GCD) locations. The ideal candidate will bring clarity through data, planning and disciplined tracking in environments where stakeholders and requirements are still evolving, ensuring that Business Leads, Tech Leads and cross-functional teams have an accurate and timely view of progress, risks and decisions. The role is the analytical and governance engine of the Projects team – owning project plans, RAID logs, toll-gate evidence, KPI and capacity reporting and the project management tooling that the team runs on. This is an individual contributor role with no direct reports, reporting to the Head of Projects.
Key Responsibilities:
Project Planning & Execution Support
- Independently manage assigned low-to-medium complexity projects (e.g. Transition Lite work transfers, single-workstream change or process improvement initiatives, ad hoc GCD initiatives) from discovery through to closure, using the SWAT and Toll Gate frameworks
- Act as the delivery partner to a Project Manager on large or critical Transition and Transformation projects, owning defined workstreams, deliverables and follow-ups end to end
- Build and maintain integrated project plans, milestone schedules and detailed transition plans (deliverables, dates and named owners) and keep them baselined and current as scope evolves
- Track delivery against scope, schedule and success criteria and flag variances to the Project Manager / Head of Projects early, with proposed corrective actions
Governance, Toll Gates & Decision Support
- Own the toll-gate evidence pack for assigned projects – tracking TG1/TG2/TG3 artefacts (Transition Acceptance Form, Regulatory & Client Consent assessment, Tech/IT inventory, KC/KT plan, training sign-offs, Go-Live approval) and ensuring evidence is complete, filed and sign-offs secured on time
- Prepare materials for Tier 2 (weekly tactical) and Tier 3 (operational) governance forums – agendas, status packs, action and decision logs – and facilitate Tier 3 forums for projects you own
- Maintain decision logs capturing what was decided, by whom (Business / Tech / PM), when and why, and follow through on resulting actions
- Contribute to the Tier 1 (monthly strategic oversight) and PMO review packs by consolidating status, risks, escalations and change requests across the portfolio
Risk, Issue, Dependency & Action Management
- Maintain the RAID log (risks, assumptions/actions, issues, dependencies) for assigned projects, categorising by type (business / technical / execution) and impact, and driving owners to closure
- Analyse trends across risks and issues to identify systemic blockers and cross-project dependencies, and bring them to the Project Manager / Head of Projects with options
- Prepare escalation notes that clearly state the blocker, impact, options and decision required, for use in the appropriate governance tier
- Co-create mitigation plans with Business Leads, Tech Leads and cross-functional teams (TA, Academy, IT, Risk, Legal & Compliance, Control Tower)
Reporting, KPIs & Capacity Analytics
- Produce accurate, insight-led status reporting – weekly project updates, executive dashboards and the consolidated GCD Projects weekly update – for the Head of Projects, Executive Sponsors and Business / Tech Leads
- Define, collect and analyse project KPIs (timeline adherence, milestone delivery, hiring and onboarding progress, KC/KT scorecards, controlled production results) and turn them into clear recommendations
- Support capacity and headcount reporting – tracking Budget-to-Hire, FTE moves across locations and GCD location capacity utilisation in partnership with Control Tower and Workforce Planning
- Build and maintain Power BI / Excel dashboards and reporting templates so that portfolio-level reporting is consistent, repeatable and largely automated
Stakeholder Coordination & Communication
- Coordinate day-to-day with Business Leads, Tech Leads, CD Leads, Transformation Leads and cross-functional teams across global delivery locations to gather inputs, validate status and close actions
- Maintain living stakeholder maps and RACI for assigned projects, identifying stakeholders that emerge during execution and adjusting engagement accordingly
- Draft clear, concise project communications – kick-off notes, status updates, change notices, minutes of meetings – appropriate to executive and operational audiences
- Surface business decisions to Business Leads and technical decisions to Tech Leads, while taking execution-level decisions within the agreed plan independently
Scope, Change & Transition Support
- Support scope discovery and Control Tower intake – helping LoB / BPAs complete intake forms, documenting scope, assumptions and impacted teams, and highlighting overlaps, gaps or conflicts
- Log, assess and track change requests, including impact on timeline, effort and headcount, and route them through the appropriate approval tier
- Track Knowledge Capture / Knowledge Transfer (KC/KT) execution, training completion and access provisioning against plan for transitions from global high-cost locations to Client Delivery centres
- Prepare Go/No-Go readiness assessments and support post-project reviews, capturing lessons learnt and feeding them back into the team's frameworks, checklists and templates
PMO Frameworks, Tools & Continuous Improvement
- Administer and continuously improve the team's project management toolset – Jira boards and workflows, Confluence project spaces, SharePoint evidence libraries and reporting templates
- Maintain the Transition Framework, Transition Checklist, SWAT templates and Transition Acceptance Document templates, incorporating lessons learnt and stakeholder feedback
- Coach Project Officers on tools, templates and governance standards and review the quality of their trackers and reports
Profile:
- Bachelor's degree in Business, Finance, Operations, Engineering or related field; MBA or equivalent an advantage
- Project management certification such as CAPM / PMP (in progress), PRINCE2 Foundation/Practitioner, Agile / Scrum or Six Sigma Green Belt preferred
- Overall 8-13 years' experience in back office, BPO or Financial Services domain
- 4-7 years of project management and execution experience – running projects or workstreams independently in a project, PMO or transition role
- Exposure to transitions, work transfers, process migrations or change programmes in a global delivery / captive centre environment strongly preferred (US/EMEA or multi-geography stakeholder experience an advantage)
Technical Skills:
- Advanced Excel (pivots, lookups, data modelling) and Power BI for KPI dashboards and portfolio reporting; strong PowerPoint for executive-ready status packs
- Hands-on experience with project management and collaboration tools – Jira, Confluence, SharePoint, MS Teams, MS Project or equivalent planning tools
- Working knowledge of project management methodologies (waterfall, agile, hybrid) and of RAID, RACI and toll-gate / decision-gate governance
- Basic understanding of Tech, application and access / infrastructure dependencies on business projects helpful
Leadership & Behavioral Competencies:
- Strong planning, organising and analytical skills; able to turn fragmented inputs into a clear plan, a clean data set and an actionable insight
- Working understanding of Project, Change & Transition Management frameworks, principles and best practices, with the discipline to apply them consistently
- High attention to detail and ownership – follows actions, evidence and sign-offs through to closure without being chased
- Adaptability and composure in ambiguous, fast-changing environments with evolving stakeholders and requirements
- Clear, confident written and verbal communication for cross-cultural and cross-functional stakeholder groups, including senior audiences
- Collaborative team player who proactively supports Project Managers and Head of Projects and constructively challenges where data tells a different story
