 Executive Assistant to the Chief Commercial Officer, based in our New York office (4 days in-office required). Support C-Suite leadership in a fast-growing, global business with direct exposure to strategic initiatives shaping the company's future.

Your role:
Reporting to the Chief Commercial Officer at Alter Domus and based in our Office in New York this is an exciting and dynamic opportunity for an ambitious professional to provide dedicated executive support while gaining C-Suite level exposure in a fast-growing, dynamic and global business. This role will assist in the proactive management of the CCOs office and will support the CCO and members of the Commercial Leadership Team in the execution of their responsibilities working directly with the Global Leadership Team and gaining first-hand experience of strategic assignments that will shape the future direction of the company. 


Your responsibilities:
•    Communication Liaison: Act as a central point of contact between the CCO and members of the Commercial Leadership Team and internal/external stakeholders. Screen and manage incoming communications, responding on their behalf with an understanding of context and prioritization, when appropriate, ensuring timely and accurate information flow.

•    Meeting Coordination: Plan, schedule, and coordinate internal and external meetings, including logistics, agenda preparation, and pre- and post-meeting follow-ups. Attend meetings, when necessary, take notes, and disseminate relevant information and follow up on action items. 

•    Travel Arrangements: Arrange complex travel itineraries, including flights, accommodation, and transport, ensuring the CCO’s travel plans align with business priorities. Arrange visas and other travel documents (including vaccines, Covid tests, etc.).

•    Expense Management: Manage expense reporting, tracking, and reimbursement processes, maintaining accurate records and ensuring compliance with company policies.

•    Diary Management: Efficiently organize and manage the CCO’s schedule, ensuring optimal use of time, prioritizing meetings, appointments, and other commitments, including forward-planning of standing meetings such as Commercial Leadership Team meetings and attendance at Group Executive Board meetings.  Be able to manage competing demands seamlessly and smoothly.

•    Confidentiality and Discretion: Manage sensitive and confidential information with the utmost discretion, demonstrating a high level of professionalism and integrity in all interactions.  Able to develop trust quickly with the CCO and other key stakeholders.

•    Ad-hoc Support: Provide additional support as needed, adapting to evolving priorities and challenges, and demonstrating flexibility in managing various tasks.

•    Time Management: Ensure timesheets are completed on time and approve holiday requests for members of the Commercial Leadership Team (CLT) as a delegate of the CCO.

•    Partnership: Partner with the People Team to support the onboarding of new commercial team directors and support with induction meetings. 

•    IT Updates: Ensure key stakeholders in the team are aware of any IT updates.

•    Document Management: Manage the electronic signature of documents.


Your profile:
Successful candidates for this role will ideally be currently in an experienced business support professional role with relevant experience in supporting an Exec Co / C-suite leader in an executive assistant capacity. This role is suited to an experienced Executive Assistant who has already supported senior leaders and is ready to operate at a highly strategic level to make an impact.  You should be looking to deepen your partnership with a C suite leader, broaden your exposure, and play an influential role in support of a scaling, global organisation. This is an opportunity to be part of a growing team and to be a trusted partner to the CCO at an exciting time in the business’ growth.  The ability to build strong relationships and a network across the organisation with others is crucial whilst delivering at speed with agility and tenacity. A proven track record of managing multiple competing priorities, diary management and global / international time zones with an understanding of how that lands with different regions and colleagues throughout the business.  Strong project management capabilities, highly organised with a forward-planning mindset, strong judgement and decision-making skills coupled with the ability to work through ambiguity to create clarity with others.  Approachable, engaging, able to stay calm under pressure and resolve issues through a pragmatic and people centric approach.

Budget salary for this role 105,000-145,000
