Position Summary
The Client Onboarding Senior Officer is responsible for supporting and coordinating end-to-end client onboarding activities. This role is integral to delivering consistent, high-quality onboarding experiences for clients utilizing Private Equity, Real Assets, Private Credit, and Loan Agency & Administration products. The Senior Officer acts as a key coordination point across internal functions: supporting onboarding execution, documentation, data migration, and offboarding activities in close partnership with Project Managers and stakeholders.
Key Responsibilities
1. Onboarding & Project Support
- Support end-to-end onboarding activities across Private Equity, Real Assets, Private Credit, and Loan Agency & Administration business lines.
- Follow established onboarding workflows, ensuring tasks are completed accurately and within agreed timelines.
- Assist in the full onboarding lifecycle, including client setup and activation, data migration tracking, and offboarding and client transitions.
- Ensure all onboarding documentation and deliverables are completed, validated, and properly recorded.
- Track timelines, deliverables, and dependencies through go-live and deal closing; maintain onboarding checklists, trackers, and status reports.
2. Cross-Functional Stakeholder Coordination
- Act as a coordination point across internal teams, including Line of Business (LOB), Legal & Compliance, and Core Client Delivery Operations to support seamless onboarding execution.
- Track dependencies across functions and follow up to ensure timely completion of assigned activities.
- Lead/participate in kickoff meetings, status calls, and follow-up sessions alongside Project Managers.
- Provide proactive updates, manage expectations, and escalate issues, delays, or risks to onboarding managers as needed.
3. Documentation & Compliance Support
- Coordinate and review KYC/AML documentation (entity data, ownership structures, tax forms) in line with internal compliance workflows and CAC requirements.
- Assist with deal document review, including LPAs, credit agreements, fee letters, and other legal documents (Master Servicing Agreement).
- Track and coordinate legal and closing documentation, ensuring completeness and accuracy prior to go-live.
- Maintain compliance with internal policies and regulatory requirements; escalate documentation or compliance issues proactively to the team.
- Support execution of MSAs for sub-agent deals, including coordination and follow-ups with commercial and legal stakeholders.
4. Reporting & Continuous Improvement
- Maintain up-to-date project artifacts (onboarding trackers, checklists, and reporting dashboards) to support visibility and accountability.
- Identify workflow gaps and support improvements to onboarding processes and internal workflows.
- Contribute to the development of SOPs, templates, and best practices for onboarding.
- Apply lessons learned and team feedback to increase efficiency and promote operational excellence.
Specific Responsibilities Include:
- Manage onboarding frameworks, including folder structures, checklists, and required setup activities (e.g., CRM, SFTP, distribution lists, bank setup, branding, platform liaison).
- Collect, process, and submit KYC documentation while supporting CAC requirements and internal compliance workflows.
- Track and coordinate legal and closing documentation, including governing documents, agreements, fee letters, and closing sets, ensuring completeness and accuracy.
- Partner with internal teams (Legal, Compliance, Line of Business) and clients to manage deliverables, follow up on open items, and meet agreed timelines.
- Support execution of MSAs for sub-agent deals, including coordination and follow-ups with commercial and legal stakeholders.
Your Profile
Qualifications
- 3+ years of work experience in client services, onboarding, loan operations, financial services, or an equivalent support role in a growth company.
- Exposure to agency lending, loan administration, private credit, or capital markets preferred.
- Working knowledge of KYC/AML processes and onboarding documentation requirements.
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced, deadline-driven environment.
- Proficiency in Microsoft Excel and PowerPoint; experience with project management tools is a plus.
- Self-motivated and able to work independently, with a strong sense of ownership and accountability.
