JOB DESCRIPTION:
This role is vital to the smooth operation of our Japan business. It centers on the custody, handling, and physical execution of documents in line with Japanese market standards. Specifically, the role includes:
- Receiving documents via courier, post, or email;
- Printing, filing, and digitally saving applicable documents;
- Applying physical seals in accordance with the type of document and its purpose;
- Logging and binding documents in the proper Japanese format;
- Scanning bound documents (a time-consuming but necessary step);
- Distributing scanned copies by email to designated recipients;
- Coordinating physical dispatch of sealed documents by courier or post based on client instructions;
- Working with our compliance function to follow up on missing documents such as signed agreements, RAFs, etc.;
- Assisting with contract lifecycle management (CLM), including drafting, and coordinating service agreement execution for new AD Japan clients;
- Supporting incorporation processes for new client entities to liaise with clients and Japanese regulatory authorities, helping meet time-sensitive deal launch timelines.
Your Profile:
- Native Japanese speaker with strong attention to detail, fluent in English will be considered as an advantage;
- Have hands-on experience with custody and document control in a professional setting;
- Be capable of understanding and applying Japanese sealing standards;
- Be adaptable to support compliance, incorporation, CLM, and potentially basic accounting, depending on skills.
